Locking Orders to Prevent Changes

Maintaining the integrity of your orders is obviously very important.

We sometimes hear from clients that the amount of an order has changed, for no apparent reason. This can be a major issue, so the client wants to understand how such a change has arisen.

The short answer is somebody has gone into the order, made a change to a line, but changed the total of the order, maybe without intending to do so, and without noticing the change.

There are situations that arise when a change must be made that will result to a change in the total of an order, and RFMS should not be able to prevent that. To minimise the possibility of it happening inadvertently, there are a number of things you can do.

Our first recommendation is that the ability to edit an order should be limited to those staff who understand the impact of such changes. Within RFMS you can restrict access to orders through use of security levels. If you have not established user levels, or if you would like to vary existing levels, our support team will be happy to help.

If your staff don’t have the ability to change an order, or if someone is going into an order with no intention of changing any lines, they should use the View Lines function:

In System Options there are also settings that govern how the lines in an order are locked, or not.

In most cases we recommend the setting Lock Line Total After Every Save. If this is the case a line total can only be changed if the user consciously clicks on the padlock icon to unlock the line for editing.
